Overview
If you need to send forms or documentation for one or more patients to the same contact person (such as a parent, guardian, or caregiver), you can use the Patient Representative feature in Lobbie. This ensures all form notifications for the represented patients are sent to the representative’s email and/or phone number.
What This Feature Does
- Routes form notifications and reminders for multiple patients to a single contact
- Useful for families, legal guardians, or case managers managing care for more than one person
- Ensures each patient’s documentation remains separate while centralizing communication
How to Set It Up
Step 1: Add the Representative as a Patient
- Go to Patients
- Click Add Patient
- Enter the representative’s name and contact information (email and/or phone number)
This record will serve as the central point of contact for all represented patients.
Step 2: Add Each Represented Patient
Add each individual patient as a separate record in Lobbie
Step 3: Link Patients to the Representative
- Open the Patient Details for each represented patient
- Toggle on “This patient is represented by another person”
- Select the representative from the dropdown list
You can repeat this step for any number of patients who share the same representative.
Step 4: Assign Forms to Each Patient
- Assign forms as usual to each patient individually
- The notifications for all assigned forms will be sent to the representative’s email and/or phone number
- Note: Even though the representative receives the notifications, each patient’s forms remain tied to their own medical record in Lobbie.
