This feature is currently in beta and requires the Lobbie support team to enable the feature for your account. We will have limited access to this beta before we go to general availability, in order to work through any improvements needed for the featureset.
This feature is only available to users with the "Reporting" role as part of their Lobbie user profile.
How to Export Data as CSV Files in Lobbie
You can now export data as CSV files across various views in the application. This feature provides a simple, asynchronous way to download your data while maintaining a secure audit trail.
General Export Steps
Exporting data works consistently across many tabular views in the system.
- Navigate and Filter: Open a tabular data view, such as the patient's dashboard. You can filter this data down to the specific records you need.
- Select Export: Click the export data to CSV menu option located on the top right-hand side of the table.
- Confirm Data: A confirmation window will provide a quick rundown of the data you are about to export, including the table name and the total number of rows. Confirm the export to proceed.
- Download: The export process happens asynchronously in the background. Once the data is prepared by the backend, a download link will be presented on your screen to download your file.
Supported Export Areas
The CSV export capability is available in several areas of the application:
- Patients Dashboard: Filter and export patient records.
- Payments: Export payment data tied to your applied filters.
- Subscriptions: Filter down and export subscription data.
- KPI Dashboard: Exportability is also present under the census section for users with census enabled (Note: This is currently in beta but will eventually be generally available).
- Forms: The newer export feature replaces the older generation CSV tool, which will soon be deprecated.
Important Notes for Exporting Forms:
- Exporting forms works slightly differently and requires that a specific form template is selected.
- If you filter by specific patients before exporting, the available form options will only include those that are common to the selected patients.
- The system will clearly tell you which users' data you are going to be exporting.
- Because there are different versions of forms, exporting them may result in multiple files being generated during the process.
CSV Export Logs (Audit Trail)
To ensure data security and traceability, we keep an audit log of that information when you export data from the system.
- Accessing Logs: You will notice a new entry called CSV Export Logs under Settings.
- Logged Information: The logs keep a timestamp of when an export took place, what type of export it was, the number of records, and by whom it was requested.
- Redownloading: If necessary, you can view that export and download the actual generated file again directly from the log.
